If you are an Admin or a Manager, you have two ways to add Canvassers to the mobile app. They can be added as Users in your Organizer Account or you can set them up as one-time volunteers with a generic passphrase login for a specific Canvassing effort.
Add Canvassers as “Users” to Your Organizer Account
Adding Canvassers as “Users” to your Organizer account requires contact information and setup time upfront, but it results in better data hygiene in your account. This is a good option when:
- You want to be able to prevent the creation of duplicate volunteer names in your account
- You know who your volunteers are in advance of a Canvassing effort
- The volunteers are likely to be included in multiple efforts
To add Canvassers as Users to your account, follow the instructions in Add New Users to Your Organization. If you want to add a Canvasser as a regular User in your account but you want to limit their access to Canvassing only, you can Create a Custom Role that only has access to the Canvassing Mobile App, turning off all other permissions for the role.
Once the new Users/Canvassers are created, they will receive an email inviting them to your account. They will be prompted to enter their first and last name, email address, and phone number, and then to create a password. They should then 1) check the device requirements, 2) install and set up the mobile app on their phones, and 3) log in to the mobile app using the email address and the password they just created.
Add Canvassers as “Volunteers” in a Specific Effort with a Passphrase Login
Using a passphrase login for volunteers to access a specific effort is a quick and easy way to set up a Canvassing effort without needing to gather volunteer contact information beforehand. This is a good option when:
- You need to set up an effort quickly
- You don’t know who your volunteers are in advance of the effort date
- You have volunteers who can’t or won’t provide their email address
- The volunteers probably won’t be involved with other efforts
To set up volunteers with a passphrase login, follow these steps:
- Start by creating your Canvassing effort.
- When you are ready to create Turfs and assign Canvassers in the effort, instead of assigning the turf to known Users in your account, you should click “Manage Effort Volunteers” and then assign the turf to an unlimited number of generic volunteer users, i.e. “Volunteer 1,” “Volunteer 2,” etc.
- You will see a three-word passphrase for each volunteer to use to gain access to the effort in the app. Note that:
- Each passphrase will be unique to one person. The number (i.e., volunteer 1) will remain assigned to that person for the duration of the effort.
- Volunteers must enter their passphrase exactly as shown: lower case with no spaces, and including the dashes that are prompted by the app.
When the volunteers have 1) checked the device requirements, and 2) installed and set up the mobile app on their phones, they will then need to log in by entering the unique passphrase that you provided them with. Next, they will be required to enter their first and last name. Optionally, they will be asked to provide their phone number and email address as well. When they enter their information in the mobile app, it will be updated in the effort as well.
Note that the use of generic volunteer users can result in duplicate volunteer names in your account. This can happen if a volunteer participates in multiple efforts using a generic passphrase login, or if multiple volunteers enter the same first and last name.
