Viewing Data for a Workspace
When using Workspaces, there will be some differences in the information that you have access to in Community Builder and Analytics. When working in Community Builder and Analytics from a workspace, the view is pre-filtered for you using the data set that was used to permission your workspace. In order to access data across workspaces or data at the account level, you will need to switch to the Top-level account view.
Using Community Builder in a Workspace
When you are in a workspace and using community builder, you will only see segments or lists created in your workspace. In addition when you create a new community, the data set will be pre-filtered for you using the data permissions segment set for your workspace. Pre-filtering the data can save you time as you build communities.
For example, let’s say that your workspace is permissioned with a data set for young adults ages 18-25. When you create a community, your data set will be already filtered for young adults ages 18-25. You can create communities based on other filter criteria such as model scores or the results of outreach efforts.
For example, let’s say that you wanted to find young adults who are likely to participate in volunteering in their community. You can add one filter for the Community Engagement Score greater than or equal to 30.
When you apply your changes and save your segment, you will have a segment filtering for: community engagement score greater than 30 AND adults ages 18-25. Note, when you view the criteria for the saved segment, you’ll see the full set of filters including that used to permission your workspace.
Viewing Analytics from a Workspace
When you are in a workspace and you access Analytics, the Profiles tab and Outreach tabs are pre-filtered for you. These tabs will contain a subset of the data available in the top-level of the account.
For the Profile tab, the profiles are filtered according to the segment that is used to define the workspace’s data permissions. For example, let’s say that a workspace is permissioned for a segment of adults ages 65 and older. When we view the profile tab, the number of profiles should match the number of profiles for the segment of adults ages 65 and older.
For the Outreach tab, the Outreach efforts that are included are those that were created in that workspace. For example, let’s say that the Older Adults workspace did 2 phone banks and 1 canvassing effort. The Young Adults workspace did 3 phone banks and no canvassing. If we’re viewing through the Older Adults workspace, the Outreach tab would include results from the 2 phone banks and 1 canvassing effort, and it would not include the data from the Young Adults workspace.
To view Analytics for the whole top-level account, you would switch workspaces to the top-level and select Analytics. Using previous example, viewing outreach at the top-level would include the Older Adults Workspaces 2 phone banks and 1 canvassing effort, plus the Young Adults workspaces 3 phone banks, and any other efforts created at Organization level or in other workspaces.
Using Community Builder in a Top-Level View
When you are working in the top-level view of your account, you can view data collected across workspaces.
- For Custom Attributes, the Workspace name appears within the custom attribute selection.
- For Imports, you can filter by Workspace Origin.
- For Outreach, you can filter by Workspace Origin.
Filter Outreach by Workspace
After selecting an outreach effort type, you can add Workspace Origin.
You can build communities that are filtered by Workspace Origin for comparison or to determine overlap in profiles contacted. For example, let’s say that you were curious about if any profiles were contacted by email outreach by different workspaces? After confirming you are working in the organization view, you could create one filter for Email Outreach within a specific workspace and email outreach within another workspace. By combining the two filters with “AND” you will get profiles that were contacted by both workspaces. If you combined the two filters with “OR” you would get profiles that were contacted by either workspace.
